Privacy notice

We collect only the information needed to administer training, document funding, verify outcomes, and meet legal or agency reporting duties.

Information collected

Name, email, phone, mailing address, agency authorization, learning evidence, assessment attempts, credential evidence, and consented employment outcomes. We do not collect Social Security numbers, full financial account details, or payment-card data by default.

Use and access

Role-based access limits student records to authorized academy staff. WSA/ETPL reviewers receive suppression-aware aggregate reports and cannot enumerate participant records. Employer advisory reviewers can submit curriculum validation and cannot browse student records.

Evidence uploads

Credential files are stored in a private bucket with file-type and size limits. Student access is restricted to the student’s own enrollment folder; administrators retrieve evidence only for verification.

Retention and requests

Records are retained for the period required by applicable TWC, WSA, WIOA, contract, audit, and dispute-resolution obligations. Deletion requests are logged and evaluated against those holds; records under a legal or funding hold cannot be erased prematurely. Signed-in users can submit and track requests securely under My records.
